Automate the request, the reminder schedule and the visible state of what is outstanding, and stop there until it is working.

Third: the status the customer sees

A page or an email that says where things stand. Its value is not efficiency, it is that it removes the interruptions that break the concentration of whoever is doing the work. Firms consistently underrate this and it is usually the cheapest of the three to build.
