Workforce planning tools are easy to shortlist and hard to compare, because every product demonstrates the same screen with different colours. This page is about the three capabilities that actually differ, the ones that only look good in a demo, and how to run a shortlist in an afternoon instead of six weeks.
Capability one: scenarios you can put side by side
A plan is only useful next to another plan. At your attrition against last year's, at the target against the target minus ten. If a product cannot show two scenarios together with their inputs visible, every comparison happens in a spreadsheet anyway and the tool is decoration.
Capability two: the assumptions kept with the answer
Six months later, the question is never what the number was. It is what was assumed about attrition, ramp and cost when it was agreed. A tool that stores outputs without inputs cannot answer that, and the plan becomes a recollection.
Capability three: an export nobody has to reformat
Workforce plans end up in a board deck and a budget model, and getting them there is where a tool quietly adds work rather than removing it. If the export needs reformatting before anybody can use it, the tool has inserted a step into the one part of the process that already worked. Ask to see the export produced in the demo rather than described in the slides.
What to ignore
Predictive attrition modelling on your own small sample, org chart visualisation, and anything described as artificial intelligence without a stated input. None of them change the hire count, which is the number the plan exists to produce.
Questions people ask about workforce planning tools
How long should a shortlist take?
An afternoon, if you bring your own numbers and ask each product to reproduce a requirement you have already computed.
Do we need a dedicated tool at all?
Below a few dozen roles, a worksheet and a saved record usually cover it. The tool earns its place when several people are planning at once and the versions diverge.
Does Orgplanly do scenarios?
It keeps plan versions with their inputs, which is what makes two of them comparable. Automated modelling on top of that is not something this product claims.
