Automated recruitment software is sold as one thing and is really three, and knowing which layer you are buying prevents most of the disappointment in this category. The bottom layer is the record: applicants against reqs with a source, a date, a stage and an outcome. Nothing above it works without it, and it is the layer that makes measurement possible at all. The middle layer is workflow: acknowledgements, stage moves, scheduling, reminders. The record is the foundation and the cheapest thing to get right

Four fields: source, date, stage with its change date, and outcome. Every figure a desk is judged on comes from them, and a product that keeps them loosely cannot be fixed by anything above. It is also the cheapest layer to insist on: a vendor either keeps those four fields properly or does not, and it takes one screen in a demo to find out.

The workflow layer has a measurable price

The judgement layer is a different decision

If a product you are shortlisting includes it, ask whether it can be switched off and confirm it is not scoring or ranking candidates in the background while you believe you are only using the workflow.
