The numbers on this page come from the inputs you enter and the method stated: 3,600 seconds to an hour, 52 weeks to a year, twelve months to a year, and nothing else. No industry shrinkage figure, no occupancy benchmark and no assumption about your attrition; every one of those is yours to enter.
Recruiting automation software demos well, because the things it does are visible and satisfying: an application arrives, an acknowledgement goes out, an interview books itself. What is harder to see in a demo is whether any of it will move the numbers your desk is actually judged on. Five questions settle it, and all five are fair to ask. What does it record against an applicant, and can it show a source and a date. What does it automate that happens before an offer exists, since 84% of the wait sits there on the worked example. How many of my 120 hours over six hires does it claim to remove, and where. What does it do about agency fees, which are 54% of the spend and usually the honest answer is nothing. And what does an export contain when I leave. A vendor that answers all five plainly is worth shortlisting whatever the interface looks like. This page sets out why each question matters and what a good answer sounds like, and every figure it uses is worked by a free sheet on this site with no account.

Ask what it records before what it automates
Automation acting on a record that does not hold a source and a date produces speed without measurement. You will be faster and unable to prove it, which is a poor position at the next budget conversation.
Ask where in the process it acts
Before the offer or after. On the worked example that is the difference between attacking 26 days and attacking five. On the worked example, 26 of the 31 days pass before an offer exists, so a product whose automation begins at the offer stage is competing for the smaller half of your problem however good it looks in the demo.
Ask what it does not do
A vendor who says plainly that they cannot help with agency fees or advertising spend is telling you something true and useful. On most small desks that is the majority of the cost. A vendor willing to name the limits of their product is also the vendor most likely to tell you the truth about the migration, which is the other thing that goes wrong in this category.

Recruiting automation software: common questions
How is this different from an ATS? The ATS is the record; automation is what acts on it. Most products sold as recruiting automation software include an ATS, and it is worth checking which half you are actually buying.
Can it work alongside what I have? Sometimes, through integrations, and each integration is a thing that can break. For a small desk one record is usually worth more than best-of-breed parts.
What does it cost? Per-seat products in this category commonly start around $19 per user per month on monthly billing (Manatal Professional, manatal.com/pricing, read 4 September 2026). Reqnix Pro is $189 a month flat for the whole desk.
