Recruiting automation
- Cost per hire
- $2,800
- Internal cost (the hours)
- $5,400
- External cost (ads and agency)
- $11,400
The numbers on this page come from the inputs you enter and the method stated: 3,600 seconds to an hour, 52 weeks to a year, twelve months to a year, and nothing else. No industry shrinkage figure, no occupancy benchmark and no assumption about your attrition; every one of those is yours to enter.
Most desks that describe their hiring as slow blame the offer stage, and most of them are wrong, which matters because it sends the automation budget to the wrong place. The arithmetic is easy to check. Split the wait into four: application to screen, screen to interview, interview to offer, and offer to acceptance. On the worked example those are 6, 9, 11 and 5 days, which is 31 days end to end with 26 of them, 84%, passing before an offer exists at all. Automating offer generation on that desk can save at most five days and realistically one or two. Automating the screening and interview scheduling attacks 26. The same exercise on your own last few hires takes a few minutes and usually reorders the shopping list, sometimes dramatically. This page walks the split, what automation exists for each stage, and what a realistic saving looks like once the elapsed time is separated from the effort. Every figure is worked by a free sheet on this site with no account.

Split the wait before you buy anything
Four numbers from your own recent hires. The stage with the most days is where your automation budget belongs, and it is rarely the stage that feels most annoying. Use your last five hires rather than an impression, and count calendar days rather than working days, because the candidate experiences the calendar and so does the competing offer.
Elapsed days and effort hours are different problems
A stage can take nine days and two hours of work. Automation that removes the two hours may not move the nine days, and vice versa. Decide which one you are trying to fix before you shortlist. Write both against each stage before you shortlist anything: a stage that takes nine days and two hours needs a reminder, and a stage that takes one day and six hours needs the work removing.
Expect the gain to concentrate upstream
Acknowledgement, sifting and scheduling are where a small desk without a dedicated recruiter loses time, because they depend on someone getting round to it. That is also where a slow process costs you candidates, since the strongest applicants are usually the ones with another offer moving in parallel while yours waits for someone to get round to it.

Recruiting automation: common questions
What is recruiting automation? Software that performs the administrative steps around hiring without a person doing them: acknowledging applications, moving stages, booking interviews, sending reminders and rejections.
How much time can it realistically save? On the worked example the internal cost of hiring is 120 hours over six hires. A well-aimed tool removes a meaningful share of the administrative part of that; it does not remove the interviewing or the deciding.
Does it work for a desk that hires occasionally? The elapsed-time gain still applies, but the hours saved are small in absolute terms. At low volume the free sheets on this site may be all the improvement you need.
