Recruitment automation software
- Cost per hire
- $2,800
- Internal cost (the hours)
- $5,400
- External cost (ads and agency)
- $11,400
The numbers on this page come from the inputs you enter and the method stated: 3,600 seconds to an hour, 52 weeks to a year, twelve months to a year, and nothing else. No industry shrinkage figure, no occupancy benchmark and no assumption about your attrition; every one of those is yours to enter.
Recruitment automation software promises to remove the manual work from hiring, and the honest question to ask before buying any of it is which manual work, and what it is currently costing. On the worked example of a small desk, hiring costs $2,800 a hire with 54% of the spend going to agencies, takes 31 days of which 26 pass before an offer exists, and needs 50 applicants per hire. Automation that removes screening keystrokes but does not touch those three numbers is a convenience purchase, not an economic one. This page walks what to judge before a demo: what the system must record so the figures come out at all, what it should automate that actually moves the days, and what to ask a vendor to prove from your own data. Every figure above is worked by a free sheet on this site with no account.

Check it records the four things the figures need
A source and a date per applicant, a stage with the date it changed, an outcome per interview and offer, and the fee terms on a client if you are an agency. Without those four, cost per hire, time to hire and conversion cannot be produced by any amount of automation.
Automate the stage that owns the days
84% of the wait on the worked example is upstream of the offer. Automated scheduling and instant acknowledgements attack exactly that; automated offer letters attack the 16%. Work the time to hire sheet first and buy against the answer.
Ask for your own numbers back
In the demo, load a slice of your real applicants and ask the vendor to produce cost per hire, time to hire and applicants per hire. A system that cannot is a filing cabinet with a search box.

Recruitment automation software: common questions
What is the difference between an ATS and recruitment automation? The ATS is the record: applicants against reqs with stages and dates. Automation is what runs on top of it, moving applicants between stages, sending acknowledgements and booking interviews. You cannot usefully have the second without the first.
Will automation reduce cost per hire? It reduces the internal half, the hours, which is a third of the total on the worked example. It does nothing to agency fees, which are 54%. That is why the agency fee sheet matters more than most automation for most small desks.
Do I need AI screening? That is a decision with legal and fairness dimensions this site does not advise on. What we would say is measure your applicant-to-screen ratio first: if 20% of applicants are worth a screen, the problem may be where the advert ran rather than how fast you can read them.
