The numbers on this page come from the inputs you enter and the method stated: 3,600 seconds to an hour, 52 weeks to a year, twelve months to a year, and nothing else. No industry shrinkage figure, no occupancy benchmark and no assumption about your attrition; every one of those is yours to enter.
Recruiting software is sold under many names and falls into four categories that do genuinely different jobs. An applicant tracking system is the record: applicants against reqs with a stage, a source and a date. A recruitment CRM is the relationship layer, organised around clients if you are an agency or around future candidates if you are an employer. Sourcing tools find people who have not applied. And assessment tools score or test candidates against a role. Most products bundle two or three of these and lead with whichever is strongest, which is why comparing them feels like comparing different things: it is. A small desk almost always needs the first one and often needs nothing else for a year. This page sets out what each category does, what it costs you to skip it, and the order in which they usually become worth buying.

The applicant tracking system
The record everything else depends on. Without a source, a date, a stage and an outcome held properly, no figure about your hiring can be produced later and no automation can be evaluated. This is the category to get right first and it is rarely the one with the best marketing.
The CRM, sourcing and assessment layers
The CRM matters most to agencies, where the client and its fee terms are the business. Sourcing matters when applicants are scarce rather than plentiful. Assessment is a selection procedure with fairness and legal considerations, and it should be approached as such rather than as a feature on a comparison table.
What a small desk needs first
The record, then whatever addresses your largest constraint. On the worked example that constraint is agency fees at 54% of spend, which is not a software category at all, and the agency fee sheet on this site works that decision directly and for free.

Types of recruiting software: common questions
Do I need all four? Almost certainly not. Most small employers run on the record alone for a long time, and adding categories before the record is trustworthy produces confident numbers built on incomplete data.
Which category is an ATS? The first: the record of applicants against reqs. In small businesses the phrase recruiting software usually means this even when the product also does other things.
Where does automation fit? It is not a fifth category so much as a layer that acts on the record. That is why the record has to be right first: automation on a poor record moves the wrong things faster.
